Wholesale ordering for cafes and stockists

Wholesale ordering

Wholesale in ibakepro is a separate ordering area sitting beside your public shop, with its own sign-in, its own catalogue rules and its own prices. It is a Business-plan feature.

How the pricing model itself works, and how to decide what your price lists should be, is covered in wholesale pricing: price lists, minimums and payment terms, with a shorter version in how do I sell wholesale to cafes and stockists. This page is the reference for the area itself and how its rules behave.

Why it exists

A trade buyer is not a retail customer with a discount code. They order the same things every week, at prices you negotiated once, in quantities that have a floor and they will not enter a card at 11pm. Run them through a retail storefront and you get either your trade prices visible to the public, or a spreadsheet emailed quarterly and orders retyped from email.

Getting a buyer in

There is no wholesale password, and that is deliberate. A buyer enters their email address on the sign-in page, receives a six-digit code and is in. Eligibility is decided by whether the customer record for that address carries one of the tags you have declared as a price list, so you revoke access by removing a tag, not by rotating a credential somebody may have shared.

Every page of the trade area requires the buyer's sign-in, because what is behind it is one specific customer's negotiated pricing.

What the buyer sees

A dense, quantity-first catalogue rather than a shop window. Each product shows the price their tag earns, and where a quantity ladder exists, the rungs are listed with the price at each break, so a buyer can see for themselves that forty costs less per unit than twelve.

Two things differ from your public shop. Products you have excluded from wholesale price at retail rather than disappearing. And a product hidden from the public storefront can still be sold here, which is how a trade-only line works.

How the rules behave

The price sheet you read in the dashboard is always exactly what checkout charges, so the sheet cannot drift from the till, and a half-typed ladder row is excluded from that sheet rather than shown as a price that will never be charged.

Minimums are checked again at checkout, per product and per variant: each variant meets its own floor standing alone, so six of one size plus six of another does not clear a minimum of twelve. The same grouping picks the ladder rung, which means the quantity that earns the discount and the quantity that clears the minimum are always the same number.

Ordering on invoice

A payment method can carry net terms, optionally restricted to particular tags. Placing an order on terms mints a real order with no charge and turns the whole total into a single scheduled payment due the configured number of days after the order date. It runs through the same payment-schedule machinery every deposit and instalment uses, so an unpaid trade invoice shows up in the same due and overdue reporting as everything else.

The schedule is built for that order and written only onto that order. Terms on one order never change your default schedule. And the payment is always created as pending verification, because net terms means the money has not arrived yet. Nothing here marks an invoice paid without you.

Reporting

Wholesale revenue reports by tag. Each order is attributed to exactly one tag, the first eligible one it carries, so tag revenue always sums to your total with no order counted twice. Orders matching no wholesale tag land in an untagged bucket rather than vanishing, and cancelled and refunded orders are excluded.

Design decisions

  • Wholesale prices your existing products. One catalogue, and one place for a recipe change.
  • Terms create the due date and the reminders that follow. Confirming the money landed is always your call.
  • A minimum belongs to the product, with per-variant overrides. Different floors per account type are expressed as ladders.
  • Wholesale runs on Business. Drop below it and every wholesale surface reads as off at once, buyer sign-in included. Your configuration is kept intact and returns as it was.
